How we evaluated campground software

The right campground platform should fit the way your property actually operates. We considered reservation management, pricing, payments, guest communication, operational tools, marketplace reach, published pricing, and the type of campground each product appears designed to serve.

1. HitchRoute

Best for: Independent campgrounds wanting a modern management platform connected to a campground directory and camper community.

Advantages

  • One camper account and saved payment wallet across participating campgrounds
  • Built-in campground directory, maps, reviews, profiles, friendships, messaging, and on-site community feeds
  • Native reservation engine with site-level availability, pricing, payments, waivers, check-in, access codes, changes, and cancellations
  • CampOS reservation grid, accommodations, taxes, events, transaction ledger, and campground-specific guest credits
  • Free plan available and flat-rate paid option without a per-reservation platform fee
  • Direct access to the product development team during the founding stage

Considerations

  • Newer platform with a smaller installed campground base
  • Some operational modules—including POS, memberships, housekeeping, and maintenance—are on the product roadmap and should not yet be treated as generally available
  • A newer ecosystem has fewer third-party integrations than long-established competitors

Pricing: A free CampOS plan is available with an application fee on guest payments. Paid CampOS plans start at $64.95 per month with no HitchRoute application fee. Payment processor charges still apply.

2. Campspot

Best for: Established private or public parks and multi-property groups seeking a mature campground-focused platform.

Advantages

  • Campground reservation and management platform serving thousands of public and private parks
  • Revenue management, grid optimization, analytics, marketing, integrations, and guest-experience tools
  • Camp store point of sale, housekeeping, interactive booking maps, and marketplace exposure
  • Designed specifically for outdoor hospitality rather than adapted from generic hotel software

Considerations

  • Public pricing is not displayed on its primary product pages, so operators need to request a demo and quote
  • The breadth of packages and integrations may require a more involved evaluation for a very small campground

Pricing: Contact Campspot for current package pricing.

3. ResNexus

Best for: Campgrounds and hospitality properties wanting a broad, mature property-management platform.

Advantages

  • Reservation grid, online booking engine, phone reservations, guest management, housekeeping, and extensive reporting
  • Direct-booking tools, automated emails, OTA connections, and optional marketing functionality
  • Higher-tier functionality includes point of sale, contactless check-in, contracts, rate optimization, and advanced housekeeping
  • No setup fee and no long-term contract are advertised on its official pricing page

Considerations

  • The platform serves multiple hospitality categories, so campground operators should confirm how every workflow fits their property
  • Pricing is customized by units and seasonality rather than presented as a simple public monthly amount

Pricing: Flexible custom quote based on the property’s units and seasonality.

4. RoverPass

Best for: Campgrounds wanting reservation software, marketplace reach, dynamic pricing, and a broad operational feature set.

Advantages

  • Reservations, payments, availability, guest messaging, interactive site maps, and reporting
  • Dynamic pricing and integrations with other travel and business tools
  • Marketplace, website, marketing, finance, event-ticketing, and POS-related offerings
  • Published pricing makes initial cost comparison easier

Considerations

  • Small-park pricing uses a $99 monthly minimum with per-reservation fees credited toward that minimum
  • At $3.50 per reservation on published small and medium tiers, total software cost rises with booking volume
  • Some capabilities are sold as additional products or add-ons

Pricing: RoverPass currently publishes a $99 monthly minimum for small parks, with $3.50 per reservation credited toward it. Medium-park pricing is listed at $3.50 per reservation without the monthly minimum, while large-park pricing is customized and can start lower per reservation.

5. Newbook

Best for: Campgrounds and holiday parks wanting a connected property-management ecosystem with scalable operational tools.

Advantages

  • Reservations, payments, automated communication, billing, and reporting
  • Dynamic pricing, day passes, self-service technology, and broad integration support
  • Essentials offering for single-site operators and customized Signature packages for larger operations
  • Designed by park operators for outdoor-hospitality workflows

Considerations

  • Essentials is priced per booking, so cost grows with reservation volume
  • Signature pricing requires a custom quote
  • Operators should clarify which features and integrations are included in the package they are evaluating

Pricing: Newbook currently advertises Essentials at $3.50 per booking. Signature uses customized packages.

Which campground platform is right for you?

Every campground operates differently. The best software depends on your property size, reservation volume, budget, staff workflow, guest expectations, and plans for future growth.

Before deciding, request demonstrations from several providers and bring examples of your most difficult real-world workflows. Ask each vendor to show—not simply promise—how it handles site moves, partial refunds, long-term stays, event pricing, phone reservations, check-in, reporting, and payment disputes.

Also calculate the complete annual cost. Include monthly minimums, per-reservation charges, payment processing, application fees, add-ons, required integrations, onboarding, hardware, and website services. A lower advertised price is not always the lower operating cost, and the platform with the most features is not automatically the best fit.

Questions to ask during every software demo

  1. What is the total cost at our actual annual reservation volume?
  2. Which features shown in the demonstration cost extra?
  3. Can we export our reservation and operational data?
  4. How are payments, refunds, disputes, and campground credits handled?
  5. What happens if availability changes while two guests are booking?
  6. How quickly can staff reach support during weekends and peak season?
  7. Can the vendor demonstrate our cancellation policy and pricing rules live?
